Get more Productive with your Day!

bend space and time Sep 15, 2018

We heard someone say recently "I dropped the 9-5 to work for myself, now I work 6 am - 10 pm!" For a lot of Entrepreneurs, there are just not enough hours in any given day!

Partly because, we enjoy what we do and we have a constant accumulation of projects and things we would like to create and do, and then, of course, stay on top of things in our accounts, marketing and meeting clients!

We have found, however, that it is not about working harder, it's about working smarter! As a recent study in the USA showed that in the course of an eight-hour workday, the average worker studied was productive for only two hours and 53 minutes!!

So how can you get the most out of the productive time in YOUR day?

Below, we have 4 simple suggestions for you, and the foundation of these suggestions are embedded in The Dore Diary - to simplify it even more...

1. Keep your to-do lists realistic and consistent.

Keeping a to-do list is one way to make sure you stay on track to achieve your goals over both the long and short term. But keeping the goals and tasks you assign yourself realistic and achievable is crucial. Otherwise, you run the risk of turning your to-do list into “a daily failure list"! Make sure to break down complex tasks into discrete and achievable steps.

This is what we love about the Dore Diary! It gives us space to write down our Things To Do every day, and to break big tasks up over a number of days if needs be. We know then that all steps will be completed in the allotted time, and if we did not get to all of it on any given day for some reason, we schedule to complete the task the following day. So instead of feeling like a "failure", we regroup and reschedule!

2. Determine priority tasks

While it may be tempting to tackle the easiest items on your to-do list first and save the more time-consuming and demanding tasks for later, this strategy can quickly lead to procrastination. Instead, it's vital that you prioritise the tasks that will bring you the most benefit.

According to the 80/20 rule, 80 % of your results come from 20% of your work. Use this as a guiding principle to identify which tasks really belong at the top of your to-do list, and don’t let less important items get in the way.

In the new version of the Dore Diary (available in August 2018) we have included a section on the Daily Things To Do page, that prioritises the top 3 things that HAVE to get done every day! We think this is a great addition to the page!

3. Do NOT Multitask

While many entrepreneurs equate the ability to multitask with success in the modern workplace, studies increasingly show that this thinking is misguided. Attempting to complete multiple tasks at once often leads to none being completed as effectively as they would have been had undivided attention been given to each.

It has also been proven that focusing solely on one task fosters creative thinking, as the brain is free to follow a logical path of associated thoughts and ideas without distraction. These studies also claim that it is actually humanly impossible to multitask! As your brain can really only give its full attention to one thing at a time. We would highly recommend that your "The One Thing" by Gary Keller, to your reading list :-)

4. Take regular Breaks!

We love to work in time-blocks of 40 - 50 minutes and then take a break for 10-20 minutes. During that time we switch the mobile to airplane mode and switch off any other distractions. Turn on a timer for 40 minutes and then stay focused on getting a task completed in that time.

The Pomodoro technique advocates working for 25-minute periods of intense focus followed by five-minute breaks. After four 25-minute work periods, individually known as pomodoros, take a longer break of 20 minutes before beginning the cycle again. The Pomodoro technique encourages short bursts of deep focus and helps build a positive habit of ignoring external distractions, to focus on a specific and important task. So in effect, you are building your mental "stamina" if you like...

We use the Dore Diary to implement these 4 simple techniques on a daily basis! And after a while, it just becomes second nature. If you would like a productivity tool to help you get more structured in your day and help you to get MORE out of your day, you can order your Dore Diary on Amazon!
